Staffing Checklist

Below is a good checklist from my Linkedin friend Rob for when you are doing some internal recuiting for your marketing/advertising campaign

•Allocate plenty of time for finalizing the staff! Don’t wait until a week ahead of your activation (or even 3 weeks) to start looking for staff. All of the best options may already be booked by then.
•Find a promotional staffing agency that will help with the process, because it really is a process and they are the experts in finding the right professional event staff within each market. Or at least should be…
•Be wary of agencies hyping a large talent database and a quick turnaround as their main selling points. Often, “talent” are accepted and even hired without ever being screened. Your agency should already have some great people for the job in mind and if they do not then…
•Be a part of the selection process with the staffing agency. Make sure they are conducting phone interviews and not just hiring off of immediate availability. It is also important to require recently taken photos, professional and casual shots with a larger emphasis on casual.
•Invest in a team lead/event manager! They are there to supervise the staff, take pictures, and overall make sure the activation goes as planned. They should also submit reporting/recap on the performance of the staff and the success of the activation.
•Looking for promofessionals you can rely on? You may need to invest a little more than the standard rate to ensure it. Sometimes with just a few extra dollars an hour you are attracting the right people to apply and be enthused about the job.
•Having at least 1 backup is vital for any activation. Even the best promotional talent can have an emergency where they are unable to show. Make sure to cover this base by staffing at least(!) 1 back up in case someone does not show or is late.
•Training is key! Make sure you have proper training in place for your staff before the activation. A training presentation deck is the minimum, a call/webinar is better, and in-person training ahead of time is best. Have a quiz designed to test the staff on your brand and the objectives of the activation beforehand.
